How it works
TalkToLeads sends an automatic reply to every enquiry from your connected portals in under 60 seconds, asks the qualifying questions and hands the lead to the right agent. Five steps, in order, with a named person responsible at each one. This page sets out what happens, what is included at launch, and what we need from you to get there.
The process
From payment to launch.
Each stage has a clear entry point and a clear finish, so there is never a week where nobody knows what is happening.
- 1
Pay the setup fee
You pay the US$999 setup fee by bank transfer through Wise on the checkout page. Wise emails your receipt. No card details are taken on this website, and nothing is charged automatically after that.
- 2
Complete the onboarding form
You complete the onboarding form. Five minutes: your lead sources, your team structure, the qualifying questions you need asked, and the tools you already run.
- 3
Meet your implementation contact
You are introduced to a named implementation contact and added to a private group. That group is where questions, approvals and progress updates happen through the rest of the build.
- 4
Build and test
We configure the agreed workflow, then test it with your team using real enquiry scenarios. Anything that misroutes, misfires or reads wrong gets fixed before it touches a real prospect. This is the stage the delivery clock covers.
- 5
Go live
The system goes live and starts answering enquiries. Monitoring and support continue from there, included in the plan.
Note: We deliver in 10 days. The clock starts once onboarding is complete and we have access to the channels being connected — if access or approvals are delayed on your side or by a third-party platform, the date moves and we tell you straight away.

Scope
What the standard setup includes.
A deliberately bounded first build. It is the version that gets live and gets used, rather than the version that stays in configuration for months.
- Up to two approved inbound lead channels at launch
- One primary qualification flow
- One routing structure
- One defined follow-up sequence
- One lead-handling team structure
Anything beyond this is quoted separately. Additional channels, extra qualification flows, further routing structures, or a second team structure are scoped and priced before any work starts. You will never be charged for work you did not agree to.
From you
What we need from you.
The build moves at the speed of access. These five items are what unblock it.
- 1
Business details
Legal name, services, service areas, and the hours your team works.
- 2
Team contacts and routing owner
Who receives which enquiries, and who owns routing decisions.
- 3
Access to selected sources
Admin access, or an admin on your side, for the channels we are connecting.
- 4
Message and FAQ approval
Your sign-off on every acknowledgement, qualification, and follow-up message.
- 5
Consent and privacy confirmation
Confirmation of the consent model and data handling that apply to your business.
From us
The parts we build and run for you.
Lead capture
Connecting the inbound channels you select so enquiries land in one defined path.
- Audit of the lead sources you currently receive enquiries from
- Connection of the approved channels included in your scope
- A single, documented entry point for every connected enquiry
Immediate acknowledgement
A first reply that confirms receipt and sets expectations, without pretending to be a person.
- Acknowledgement message approved by you before launch
- Clear statement of what happens next and when
- Consistent tone across every connected channel
Qualification flows
A short set of questions that collects only what your team actually needs.
- One primary qualification flow in the standard scope
- Questions you approve, in your own wording
- Answers attached to the conversation, not stored in someone’s head
Routing and human handoff
The right person receives the right conversation with the context already collected.
- One routing structure mapped to your team
- Staff alerts so nobody has to watch an inbox
- Handoff that includes the qualification answers
Follow-up sequences
A defined process that keeps moving when a prospect does not reply immediately.
- One defined follow-up sequence in the standard scope
- Timing and message content approved by you
- Stops automatically once a human conversation is underway
Operational reporting
A basic view of what the system handled, so you can see it working.
- Monthly operational summary
- Volume and routing visibility across connected channels
- Observations on where the flow could be tightened
Managed monitoring
Monitoring and upkeep after launch, so the workflow does not quietly break.
- Workflow monitoring
- Minor template and routing changes
- Support within published support hours

The gap
Keep your CRM. Fix the conversation gap.
A CRM records what happened. It does not answer an enquiry at 9pm, ask the three questions your team needs, or put the conversation in front of the right person.
What many agencies have
- Multiple inboxes
- A CRM no one keeps up to date
- Missed calls and delayed responses
- Leads assigned without context
- Follow-up done when someone remembers
What TalkToLeads installs
- Defined lead response
- Qualification questions
- Context-rich human handoff
- Clear follow-up process
- Managed monitoring and support
